Needs attention
New leads not yet contacted, and leads that have gone quiet. Click any to open.
Lead-source ROI
How each source performs for the selected period: leads in, how many advanced past new/lead, and the conversion rate.

Production & goals
Closed production per agent for the period, plus year-to-date team GCI vs each agent's annual goal. Set goals inline and Save. GCI is team-side (after referral, fees & split).

Card spend (P&L)
Cards mailed via AMcards this month, by agent, with cost. For recordkeeping.

Facebook ad requests
When an agent requests to run their own ad, approve it and set a budget cap here. Approved-agent leads route straight to that agent.
Spend controls
Monthly card-spending limit per agent (0 = no limit). Turn card sending off for an agent entirely with the toggle. Admins are never capped.
Automations
Birthday & home-anniversary touches and speed-to-lead follow-up. Add each contact's birthday/anniversary on their profile to power these.
Stage-change automations
When a contact moves to a stage, automatically fire actions — send a text, create a task, enroll in a campaign, or ping the agent. This is the FUB-style trigger engine.
Ponds (shared lead pools)
A pond is a shared pool of unassigned leads. Any agent can pull/claim leads from a pond in the Ponds tab — a claimed lead becomes theirs and leaves the pond. Move leads into a pond with the People list's Move to pond bulk action (or the FUB import).
Groups (agent teams)
Organize agents into named groups (e.g. Buyers Team, Listing Team, Newer Agents). Use a group to instantly set who's in the lead round-robin.
Custom fields
Add your own fields to every contact (text, number, date, or a dropdown). They show on the contact record, can be shown as columns, and are filterable — and they receive matching columns from the FUB import.
Team roster & logins
Add a new agent and they can sign in with their @thekeygroupohio.com Google account right away — no deploy. Deactivate anyone you've added to cut off access. (The original team is built in and managed by Claude.)

Per-agent lead webhooks
Give an agent this URL for their own Facebook ad (as the Zapier Webhooks POST URL). Leads from it go straight to that agent instead of round-robin. Replace YOUR_WEBHOOK_KEY with your CRM webhook key.
Duplicate finder
Finds contacts that share an email or phone. Pick the one to keep — the others' history, notes, and tasks move onto it, then the extras are deleted. Handy before/after the big import.
Agent offboarding
When an agent leaves: move all their contacts and deals to another agent and take them out of the lead rotation in one step. (Removing their login is a quick separate step — I'll walk you through it.)
Settings
Set up your photo and email signature. These apply to every email you send from the CRM.
My profile photo
A headshot for your email signature, the client status page, and your avatar in the app. Square works best — it's cropped to a circle.
My email signature
Added to the bottom of every email you send from the CRM. Design it with the toolbar (font, color, links, image), or click Insert starter layout for a ready-made design — then edit it. Leave blank for none.
Notifications
The bell (top right) always shows what needs attention, live. Turn on desktop alerts to get a pop-up even when the CRM is open in another tab.
Run your own Facebook ad
Want to run a Facebook lead ad and keep those leads yourself (instead of the team rotation)? Request it here. An admin approves it, sets a budget, and gives you a webhook to connect — then your ad's leads come straight to you.
Lender & title partners
Your go-to lenders and title companies. Add them once and they show up as pick-lists on every deal (Lender / Title fields). The whole team shares this directory.

Import my contacts from Follow Up Boss
Bring your own contacts from FUB into the CRM. Get your personal API key in FUB (top-right menu → My Settings → API, or Admin → API) — a personal key only pulls the contacts assigned to you, and they'll come in assigned to you here. The key is used once for this import and is never stored.
Lead routing
Where new inbound leads (Facebook, AgentFire, web) get assigned. Round-robin rotates them evenly across the agents you pick. Returning leads always stay with their current agent.
Texting (SimpleText)
The shared team number outbound texts send from, and where SimpleTexting posts incoming replies. The API key is stored server-side as a secret — set it once via the deploy script; it is never entered here.
Cards (AMcards)
Mail real greeting cards to contacts from the 💌 Card tab on any contact. Card designs pull straight from your AMcards account — no setup here beyond the API key. Generate a key at amcards.com → Generate Access Token, then add it via the deploy script (stored server-side; never entered here).
Pick lists
One per line. These feed every dropdown in the app. Seeded from the FUB audit — edit freely, then Save.
Import from Follow Up Boss (API)
Pulls straight from FUB with your read-only API key (FUB → Admin → API). The key is stored server-side as a secret — set it once via the deploy script; it is never entered here. Templates import cleanly with merge fields intact.
Import contacts (FUB CSV export) — fallback
Manual option if you'd rather not use the API. In FUB: People → select all → export CSV. Drop the file here. Duplicate emails are skipped.
